How to reply to a negative Google review: three useful templates

A useful review reply addresses the customer's concern and gives a clear next step. Before drafting one, establish what happened and what you can offer. The examples below are starting points, not statements about real Navidu clients.

Check the facts before publishing

Read the review with the person who dealt with the customer. Identify the issue, check what was promised and decide who can follow it up. Keep the internal explanation separate from the public reply. A reader needs to understand your response, not your entire appointment history.

Google explains how verified businesses can reply through their profile and how to flag a policy violation. An unfavourable opinion alone is not a reason to promise its removal. Use a public reply to describe your next step; handle the individual case privately.

Google: reading and replying to reviews

When a message went unanswered

Example / Illustration

“Thank you for telling us. We missed your message and understand why that was frustrating. Please call the number on our profile so we can check your request with you.” Use this only if you have confirmed that the message was missed and someone can take the call.

Then repair the process behind the complaint. Decide when you check the business phone, which account receives requests and what an away message should say. A configured away message can explain availability; it does not mean a person has replied or an appointment has been accepted.

  • Acknowledge the specific problem you have verified.
  • Offer one contact route that somebody monitors.
  • Change the internal routine before promising faster replies.

When the complaint is about price

Example / Illustration

“Thank you for raising this. We would like to check the quoted service and the amount charged. Please contact us using the number on our profile so we can look at the details together.” This keeps the reply focused while you establish the facts.

Check whether the website, booking page and messages describe the same service. If your wording was unclear, correct it. Avoid publicly reconstructing the customer's booking or announcing compensation before you have decided what you can offer.

When you cannot identify the incident

Example / Illustration

“We would like to understand what happened. Please contact us through the number on our profile with the date and service concerned so we can investigate.” You do not need to accuse the reviewer of inventing the visit because you cannot recognise it immediately.

Google prohibits review incentives. Keep requests for honest feedback separate from refunds or complaint resolution. Build your own regular review check, or delegate it with clear escalation rules. Navidu Presence promises every Google review answered within 48 hours, or that month is free; it does not promise a particular rating or number of new reviews.

  • Adapt the reply to what you know rather than pasting every template unchanged.
  • Choose who approves replies that need an owner decision.
  • Keep the follow-up conversation out of the public review thread.
